Job Summary: We are seeking a dedicated and organized Assistant Office Manager to join our team. The ideal candidate will provide crucial administrative support to ensure the smooth and efficient operation of the school's daily activities. This role involves a variety of tasks ranging from managing office supplies to assisting with student records, and interacting with parents, staff, and students in a friendly and professional manner.

Responsibilities:
  • Front Office Management:
    • Greet visitors, parents, and students in a welcoming manner.
    • Answer phone calls and direct inquiries to the appropriate personnel.
    • Maintain a tidy and organized front office area.
  • Student Records Management:
    • Assist in maintaining accurate and up-to-date student records.
    • Process new student enrollments and withdrawals.
    • Generate reports and documents related to student attendance and performance.
  • Communication and Correspondence:
    • Draft and distribute internal and external communications.
    • Manage incoming and outgoing mail and emails.
    • Facilitate communication between teachers, parents, and school administration.
  • Office Supplies and Equipment:
    • Monitor and replenish office supplies as needed.
    • Coordinate maintenance and repairs for office equipment.
  • Event Support:
    • Assist in the coordination of school events and activities.
    • Prepare materials and logistics for meetings and parent-teacher conferences.
  • Data Entry and Filing:
    • Accurately enter data into school databases.
    • Maintain organized filing systems for various administrative documents.
  • Attendance Monitoring:
    • Collaborate with teachers to track and report student attendance.
    • Communicate with parents regarding attendance-related matters.
  • Emergency Procedures:
    • Assist in implementing emergency procedures and drills as necessary.
    • Keep emergency contact information updated. 
  • Fee Collection and Tracking Assistance:
    • Support the utilization of the MySchoolBucks platform for the collection and tracking of fees related to beyond school programming, ensuring accuracy and timeliness.
  • Student Recruitment Support:
    • Assist in activities related to student recruitment, working collaboratively with the Student Recruitment Team to attract and retain students while promoting the school’s mission and vision.
  • Building Support:
    • Help plate and deliver breakfast and lunches.
    • Greet students at arrival and help facilitate dismissal.
    • Support related arts teachers when needed. 
    • Help students make transitions throughout the building (e.g., restroom, related arts, special services).
    • Assist with attendance, late arrivals, and breakfast.

Qualifications:
  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience in administrative roles, preferably in an educational or program coordination setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Strong organizational and multitasking skills with great attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Enthusiastic about supporting the coordination of enriching educational experiences for students.
