The School District of Clayton is seeking a highly-qualified administrative assistant to provide support to the principal of Captain Elementary School for the 2025-2026 school year. The administrative assistant in this position performs a variety of clerical and secretarial duties requiring initiative, independent judgment, and decision-making within established policies and procedures. Duties frequently require the discreet and tactful handling of confidential material, and interaction with the staff, parents, students, and community.
REPORTS TO: Principal
ESSENTIAL JOB DUTIES
Experience: Minimum of 2 - 3 years experience as an administrative assistant or equivalent position. Prior school district office experience is highly desirable.

REPORTS TO: Principal
ESSENTIAL JOB DUTIES
- Prepares, composes, transcribes and/or types documents, correspondence, reports, newsletters, schedules, etc. for the purpose of communicating information to school and District personnel, students, parents, and the public.
- Supports assigned supervisor(s) for the purposes of providing assistance with their department functions. Maintains confidentiality when working with private material concerning the District or individuals.
- Maintains files for supervisor(s) and/or department.
- Determines the need for written or telephone inquiries, provides information or direction and resolves issues from knowledge of District policies and procedures, or refers to the appropriate party.
- Receives substitutes into the department or office and provides the information or directs to the proper person or assignment area.
- Provides daily supervision for students during recess and lunch.
- Initiates contact and transacts business with outside agencies and parties.
- Coordinate and process supply and resource orders for teachers and staff, ensuring accuracy, timeliness, and adherence to budget guidelines.
- Communicate with vendors and suppliers to obtain quotes, place orders, and resolve issues as needed.
- Track and monitor orders to ensure accurate and prompt delivery.
- Maintain inventory of commonly used office and instructional supplies.
- Ensure purchasing procedures align with school and district budget guidelines.
- Distribute supplies to staff and maintain organized storage areas.
- Manage the building-level budget, including monitoring expenditures, maintaining accurate records, and providing regular updates to the principal.
- Assist in preparing budget reports and forecasts to support school planning and decision-making
- Prepares and distributes related reports, and maintains data bases appropriate to the specific area of responsibility.
- Operates standard office equipment and is proficient in word processing and basic spreadsheet skills.
- Performs other duties and responsibilities as requested by the assigned supervisor(s).
