Administrative Assistant- Teaching and Learning

Administrative Assistant- Teaching and Learning
- Full-time position, 40 hours/week
- Schedule: 12 months, Monday-Friday
- LAOP Level D - Beginning hourly rate: $20.20 subject to experience

Essential Duties and Responsibilities: Other duties may be assigned.
- Maintains accounting records; posts receipts and expenditures to proper accounts
- Assists department administrators to prepare annual curriculum budgets
- Responds to written and/or verbal inquiries concerning department curriculum budget matters
- Ensures that accounting procedures as established by the district are followed
- Manages curriculum implementation, materials orders, and textbook/materials management
- Manages surplus material processes
- Supports maintenance and processing of department curriculum contracts in Vendor Registry database
- Coordinates with Administrative Assistant to the Superintendent and Board of Education to ensure timely submission and accuracy of department curriculum contracts
- Processes requests for meeting space for curriculum development functions
- Supports Curriculum and Assessment writing camp
- Supports OASIS program lead
- Monitors Teaching and Learning book room
- Coordinates and supports work with STLCC and early college processes.
- Process purchase orders, requisitions, invoices, and expense reimbursements in alignment with DESE coding requirements and district financial policies.
- Tracks expenditures against multiple funding streams, including Perkins, Enhancement, and other grant allocations.
- Generates monthly, quarterly, and annual budget reports for Perkins.
- Assists with budget preparation and forecasting for CTE/PLTW programs.
- Ensures all purchases and expenditures align with DESE fiscal guidelines and district policies.
- Maintains accurate and auditable financial records for CTE and PLTW programs.
- Assists with required DESE reporting, audits, and data collection related to program compliance.
- Monitors deadlines for state reporting, grants, and funding submissions.
- Functions as a team member carrying out shared responsibilities of the office
- Assists administrators, teachers, staff, students, families, and community as needed
- Provides professional and courteous customer service to all parents, staff, and visitors
- Attends staff meetings and professional learning as directed
- Performs all work in accordance with governmental laws, state mandates, and Lindbergh policies
