Job Description:
The Registrar is Atlas’ owner of student records, enrollment workflows, and data quality. You will lead the registration process, maintain accurate and compliant student information in PowerSchool, and deliver exceptional service to families and staff. As Atlas grows to PK-8, you will standardize processes across campuses so data rolls up cleanly for school, authorizer, and state reporting.

Enrollment and Registration
  • Verify required documents: age, residency, guardianship, custody orders, immunizations, prior records
     
  • Coordinate Pre-K requirements: eligibility, age cutoffs, screenings, and subsidized care documentation if applicable
     
  • Apply preference rules: siblings, staff children, geographic priorities, and program placements
     
  • Work with the recruitment team to staff enrollment events: registration days, kindergarten screening/orientation
Student Records and Compliance
  • Create, secure, and maintain cumulative records, paper and digital, in accordance with FERPA
     
  • Issue and reconcile state student IDs and required student profiles
     
  • Partner with the school nurse on immunization compliance and medical action plans
     
  • Process legal documents: court orders, name changes, restraining orders, no-contact directives
     
  • Maintain records retention schedules, ensure audit readiness, archive and transfer records within required timelines
     
  • Manage directory information, media opt outs, and parent permissions

SIS Ownership and Data Quality, PowerSchool
  • Serve as primary owner for PowerSchool and online enrollment forms
     
  • Build and update forms, validations, codes, calendars, and automated workflows
     
  • Run routine data audits, correct errors, and enforce data standards across campuses
     
  • Complete year-end rollover, promotions and retentions, and new year setup
     
  • Train front office staff, teachers, and leaders on data entry norms and basic SIS functions
Attendance and Membership Accounting
  • Oversee daily attendance reconciliation and same-day exception handling
     
  • Ensure accurate entry and exit dates, membership days, and ADA or ADM calculations
     
  • Generate attendance letters and truancy notices in alignment with policy
     
  • Produce attendance and membership reports for leaders, the board, and compliance submissions
Rosters, Schedules, and Testing Files
  • Work with the Instructional Leadership Team to build and maintain homeroom and advisory rosters, balanced by services and class size
     
  • Coordinate specials or related arts rosters, intervention and pullout lists in partnership with deans and special services
     
  • Prepare testing rosters and pre-coding for assessments such as NWEA Reading Fluency, NWEA Growth, and the State MAP test
     
  • Maintain accurate program flags: IEP, 504, EL, gifted, homelessness, foster care, Title I
     
Scaling for Multi-Campus PK-8
  • Standardize codes, forms, and standard operating procedures across sites
     
  • Centralize high-risk tasks: state files, records transfers, SIS configuration
     
  • Document processes, build coverage plans, and cross-train office managers
Success Metrics
  • Enrollment conversion time from offer to fully enrolled, target set during onboarding
     
  • 100% of mandated documents that are a part of the enrollment process have been submitted and accurately uploaded into PowerSchool
     
  • Data accuracy on quarterly audits, declining error trend across campuses
     
  • Daily attendance reconciled by 10:00 a.m., zero unresolved records at month end
     
  • On time submissions for authorizer and state reporting, zero material findings
