Job Description:
Orchard Farm Student Services is looking for a secretary to join our team! 

The secretary to student services provides clerical support to the department and staff members, providing a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.

Essential Functions: included, but not limited to the following:
  • Tracks department budgets and reconciles invoices
  • Order and manage supplies related to the student services department 
  • Generate and track purchase orders for supplies and subscriptions 
  • Reconcile monthly PCard purchases, ensuring proper documentation and approvals
  • Prepare bank deposits
  • Maintain attendance and mileage reimbursement records for employees and parents
  • Obtain and track outside placement contracts, MOUs, and annual service agreements for Board of Education approval
  • Ensure timely signatures and maintain a digital record of approved contracts
  • Provide administrative support for special education and 504 plan meetings as needed (scheduling, notices, documentation)
  • Medicaid billing documentation (Claim Care)
  • Update and maintain shared department spreadsheets for transportation, mileage, therapy costs, and high-need student data
  • Assist with TalentEd for staff professional development processing. Coordinate travel arrangements and conference registrations for department staff
  • Arrange catering, room setup, and materials for events and trainings 
  • Other duties as assigned

  • Ability to maintain confidentiality of information regarding students, employees and others.

  • Knowledge of office management procedures.
  • Knowledge of laws and regulations, District policies and procedures, principles, guidelines, and best practices related to the school (e.g., Pupil Services, Human Resources, Facilities and Business).
Minimum Qualifications
  • Graduation from high school.
  • College level course work in business, word processing, and office procedures preferred but not required.
  • Associates degree or other degree preferred but not required.
  • Successful experience with office management in related area preferred.

  • 7:30 a.m. - 4:00 p.m., Monday - Friday
  • 12 month position
  • Starting range $18.00 - $21.00; depending on experience and education
