ESSENTIAL FUNCTIONS: 
  1. Responsible for effectively performing all clerical duties associated with the Human Resources Department including but not limited to answering questions via various methods, typing letters, compiling reports, preparing for meetings, communicating HR supply orders, printing, faxing and mailings.
  2. Advise employees regarding HR programs, practices, and procedures.
  3. Support the HR team with processes involving new hire documents, scheduling onboarding meetings, and ensuring compliance in various onboarding platforms (i.e. E-Verify, MACHS, FCSR, CaseNet, MO State W-4, etc.).
  4. Prepare, distribute and communicate out timely reporting to building/department supervisors on incomplete checklist tasks and deadlines assigned to renewed staff. Communicate with employees to facilitate completion in a timely manner.
  5. Act as a backup to the hiring specialist on substitute staffing, ensuring accurate and well-organized documentation on all candidates per standards set by HR supervisors, and substitute hires are submitted to the HR Manager for Board approval. Additionally, support the HR team in obtaining verifications of employment or other required references as needed.
  6. Assist the HR team in working with new hires and existing staff to obtain, file and verify active and appropriate DESE certification(s) and licensure(s) as required for their role. Provide support in maintaining required DESE certifications and licensures for existing, active staff throughout the year in these roles. Communicate with employees and supervisors to facilitate completion in a timely manner, and partner with HR supervisors proactively on issues.
  7. Manage ongoing compliance with labor law posters for all district buildings.
  8. Upload applicable paper personnel files and HR forms in PowerSchool Records for retention, as needed.
  9. Responsible for attending recruiting events and HR coordinated activities to build district teams as needed. Assist the HR Manager and Assistant Superintendent for Human Resources with registration, preparation, and distribution of job fair materials.
  10. Assist the HR Manager in preparing interview packets, setting up interview rooms, and placing catering orders as needed.
  11. Coordinate and manage applicable programs including, but not limited to, contracted agency staff, screened volunteers, and student teachers, as identified by HR supervisors. Ensure all required background checks are completed, and maintain timely communication with supervisors and other stakeholders regarding outcomes and next steps. Conduct appropriate follow up when an individual’s services are no longer needed or when the associated program has concluded, including completing any required actions related to documents and records retention.
  12. Log all HR reviewed background check determinations in Qualtrics as determined by HR supervisors.
  13. Email the District Exit Survey to all employees separating from the district upon receipt of their separation notice, or as determined by HR supervisors.
  14. Oversee completion of mandatory Vector safety training for all staff by generating and distributing incomplete training reports to employees and supervisor, and communicating expectations to ensure compliance; collaborate with HR supervisors as needed to support follow up and accountability.
  15. Process and reconcile Purchase Orders related to the HR department.
  16. Create employee work calendars in collaboration with the HR Manager, ensuring alignment with the Board of Education-approved District Calendar and HR supervisor approval.
  17. Maintain completed employee evaluations, and follow up with administrators as needed to ensure employee evaluations are completed and submitted by state deadlines.
  18. Process employee name, address and phone number change requests via Records and update SISFin and Records to ensure accurate and timely completion.
  19. Support the creation and management of employee service records for all new hires, assisting in data entry and file uploads in PowerSchool Records for retention, per standards set by HR supervisors. Additionally, update service records for existing staff when employment modifications occur or when staff separate from the district, and ensure proper file management in PowerSchool Records.
  20. Provide support to administrators and secretaries as needed regarding the hiring process and required documentation.
  21. Assist the HR Manager in gathering and entering data for various district and HR-related surveys, audits (internal and external), compensation studies, and other program directives and guidelines as requested.
  22. Perform other duties as assigned.
