The Opportunity
Friendly Academy is a new K-5 charter school in St. Louis, MO. Friendly Academy's mission is to equip students with a quality and holistic education rooted in love. As we prepare for a strong launch, Friendly Academy is seeking an Office Coordinator to play a key role in supporting our school’s growth and operations. This position is essential in creating a welcoming and organized environment that reflects our commitment to student success and family partnership. The Office Coordinator will be the heart of this mission, ensuring that every interaction, whether with students, staff, or families, is rooted in warmth, care, and a commitment to service excellence.

Responsibilities

Front Office Management
  • Serve as the first point of contact for visitors, students, and families, ensuring a welcoming and professional reception.
  • Manage all incoming communications, including phone calls, emails, mail, and faxes.
  • Maintain a clean, organized, and efficient front office area.
Administrative Support
  • Provide secretarial and scheduling support to the lead team including calendar management, correspondence, and governance. 
  • Assist with student record-keeping, scheduling, and data entry.
  • Transcribe dictation, distribute mail, and help manage school-wide communications.
  • Planning and supporting logistics and set up for school events and activities as needed
Office Operations
  • Oversee the day-to-day functions of the school office to ensure efficiency.
  • Manage office supply inventory and place orders as needed.
  • Ensure all administrative tasks align with school policies and procedures.
  • Assist with maintaining the Student Information System (SIS), including ensuring accurate data entry, student records, and updates on attendance and grades.
Required Qualifications
  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
  • Minimum of 2 years of administrative experience, preferably in a school setting.
  • Proficiency in Google Workspace and general office equipment.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Friendly, professional demeanor with a commitment to exceptional customer service.


Preferred Qualifications
  • Experience working in educational settings, particularly in K-5 schools.
  • Familiarity with student information systems and educational software.
  • Bilingual abilities are a plus.
