Accounts Payable Clerk
Administration Building
Start Date: July 2024

POSITION SUMMARY:  Responsible for maintaining all purchase orders.  Ensures that incoming invoices match existing purchase orders and enters data into the accounting system.             

EDUCATION AND EXPERIENCE:  An equivalent combination of education, training and experience will be considered.

• Requires a high school diploma or equivalent.
• Preferred 2 to 5 years of job-related prior experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

• Organize and maintain all District purchase orders, ensuring that all have been dated and approved by the Board of Education.
• Reconcile incoming invoices to existing purchase orders; research and correct errors, input data into the AP system, and ensure payments are timely, properly approved, accurately coded, and within budget.
• Communicates with school building secretaries, department secretaries, and vendors to resolve discrepancies between purchase orders and invoices.
• Oversees credit card transactions by all district cardholders to ensure proper documentation is received and reconciled to credit card statements.  Payments must be timely, properly approved, accurately coded, and identify over budget payments.
• Oversee expense reimbursements to ensure compliance with reporting procedures and that receipts are matched to expense reports.  Payments must be timely, properly approved, accurately coded, and identify over budget payments.
• Print and distributes payments according to BOE approval requirements.
• Sort and distribute mail.
• Cross trains across all business office functions.
• Performs other clerical duties as assigned.

COMPENSATION FOR EXPERIENCE IS CONSIDERED, 2023-2024 Classified Salary Schedules
