JOB OVERVIEW
:   Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff.
QUALIFICATION REQUIREMENT:  One year certificate from college or technical school and or three years secretarial experience preferably in public education environment.
ESSENTIAL JOB FUNCTIONS:
  • Prepare written correspondence, forms, schedules, or reports using personal computer.
  • Prepare instructional materials, meeting agendas, honor rolls, graduation lists and campus communication as requested.
  • Maintain a daily teacher attendance log and records for substitute teachers.
  • Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office according to established deadlines.
  • Maintain school calendar of events
  • Schedule meeting and appointments and maintain calendar for principal.
  • Assist students, teachers and parents as needed.
  • Receive incoming calls, take reliable messages and route to appropriate staff.
  • Maintain physical and computerized files including mailing lists, student’s record, visitor logs, office communications and grade reports.
  • Update handbooks, policy manuals and other documents as assigned
  • Perform routine bookkeeping tasks to maintain campus budget records.
  • Prepare and process purchase requisitions.
  • Receive, store and issue supplies and equipment.
  • Prepare and make cash deposits for activity account(s).
  • Assist with coordination of faculty meeting and campus activities.
  • Maintain inventory of fixed assets, equipment and supplies.
  • Sort, distribute or deliver mail and other documents.
  • Maintain confidentiality.
KNOWLEDGE SKILLS AND ABILITIES
  • Knowledge with personal computer, printer, copier, fax machine and calculator.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instruction and procedure manuals.
  • Ability to apply commonsense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  •   Maintain emotional control under stress; work with frequent interruptions
 TERMS OF EMPLOYMENT & EVALUATION:  Length of contract and salary to be determined annually by the Board of Education.   Performance of this job will be evaluation annually in accordance with the provisions of the Board’s policy on Evaluation of Support Services Personnel.
PHYSICAL DEMANDS:  Repetitive hand motions and prolonged use of computer. Work is performed while standing, sitting and/or walking.  Requires the ability to communicate effectively using speech, vision and hearing.  Requires the use of hands for simple grasping and fine manipulations. Requires bending, squatting, crawling, climbing, reaching. Requires the ability to lift, carry, push or pull light weights, up to 30 pounds
