Position: Data and Information Specialist
  1. High School Diploma or equivalent (GED) required--Bachelor’s degree preferred
  2. Minimum of 3 years experience in secretary role or experience in given area
  3. Must be able to type at an acceptable rate with good grammatical structure
  4. Ability to deal positively, effectively, cooperatively, collaboratively and courteously with students, parents, faculty and staff
  5. Proficient in Microsoft Office and Google applications
  6. Maintain confidentiality in all matters
  7. Display excellent organizational skills
  8. Ability to produce documents accurately and efficiently
  9. Ability to research, access, organize, analyze, manage, compile and process a wide variety of data within various applications
  10. Ability to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions

General Summary:  
The job of the Data and Information Specialist is to manage student information database systems and provide instruction and guidance to system users.  Additionally, this position provides assistance to building clerical staff, building administrators as well as District Office on Core Data/MOSIS submissions. DESE reporting requirements dictate priorities and distractions are unavoidable, therefore flexibility and strong organizational skills are essential.  It is equally important to be goal driven and maintain a high level of professionalism while adhering to Board policy.  Some travel and in-service preparation are necessary.
Performance Responsibilities:    
  1. Supervise the collection and maintenance of student data in the student records system
  2. Assist the Assistant Superintendent of Academics with data collection, e.g. core data, and reporting
  3. Develop and implement procedures and training for district clerical staff for a variety of data reporting
  4. Develop and monitor enrollment procedures for the district
  5. Manage and monitor all state level reporting data appropriate for building
  6. Assist Curriculum and Instruction department with uploading testing precode for ELL, MAP and EOC
  7. Assist SPED department with proper student placement codes
  8. Assist District Office with certification issues
  9. Investigate all state level violations in regards to core data and MSIP standards
  10. Maintain, implement, and monitor classified and certified evaluation software tool
  11. Participate in appropriate training relative to data management and software programs responsible for
  12. Serve as a resource to administrators and clerical staff regarding student information systems
  13. Act as liaison for the Student records system vendor
  14. Monitor and transfer data to the district wide messaging system
  15. Monitor enrollment for future growth predictions and FTE analysis
  16. Monitor data transfers between district interfaces 
  17. Manage the data warehouse component of Student records
  18. Complete Summer School application and file appropriate DESE reports
  19. Oversee all vocational tracking and follow-up data for College and Career readiness standards including support of enhancement grants
  20. Monitor daily attendance notifications to parents
  21. Maintain parent account access in Student records
  22. Launch Coordinator
  23. Organize and prepare student achievement data reports and presentations
  24. Access and interpret student data from the Student Information System
  25. Download or prepare monthly files and reports for the district and BOE
  26. Produce and process on-request ad hoc reports and data retrieval for District and school personnel
  27. Support Assistant Superintendent of Academics in preparing dropout reports and tracking students
  28. Organize, prepare, and conduct regular meetings, trainings and orientation sessions
  29. Perform other incidental tasks and duties assigned by the immediate supervisor
