Job Description:
The School District of Clayton is seeking a highly-qualified administrative assistant to provide support to the principal of Clayton High School.  The administrative assistant in this position performs a variety of secretarial and bookkeeping duties requiring initiative, independent judgment, and decision making within established policies and procedures. Duties frequently require the discreet and tactful handling of confidential material, and interaction with the staff, parents, students, and community. 
 
The successful candidate will:
  • Utilize high level budget management skills as building's financial secretary
  • Be meticulous in record keeping
  • Possess excellent organizational skills and have the ability to handle multiple tasks efficiently
  • Have excellent written and verbal communication skills
  • Have excellent word processing and technology skills
  • Be capable of handling highly confidential information with skill and discretion
  • Maintain a calm, professional demeanor in communication with District staff, students, parents and community
Examples of work performed:
  • Process POs, vouchers, and other financial paperwork
  • Manage part-time temporary employment program for the school, including budget and staff hours 
  • Process part-time temporary employment paperwork using District financial software  
  • Assists in managing building/department budgets, expense accounts, Visa accounts, petty cash, etc.
  • Assists with ordering and inventory of office/department supplies
  • Initiates contact and transacts business with outside agencies and parties
  • Prepares and composes documents, reports and newsletters for the purpose of communicating information to school personnel, students and parents
  • Maintains files for supervisor(s) and/or department
  • Determines the need for written or telephone inquiries, provides information or direction, and resolves issues from knowledge of District policies and procedures, or refers to appropriate party
  • Develops systems to meet building/department needs; establishes and maintains files
  • Processes mail, may schedule appointments, and may make travel arrangements for staff and/or student events including field trips
  • Operates standard office equipment, is proficient in word processing and basic spreadsheet skills
  • Performs other duties and responsibilities as requested by the principal or assigned supervisor(s)
Education:  High school diploma or equivalent
Experience:  Minimum of 2 - 3 years experience as an administrative assistant or equivalent position.  Prior school district office experience is highly desirable.
