Job Description:
The Orchard Farm School District is seeking an Executive Administrative Assistant to join our team.  The Executive Administrative Assistant will provide support to all functions of the Superintendent of Schools and Board of Education.
 
Essential Duties and Responsibilities
  • Perform secretarial duties for the Superintendent, Board of Education members and District Administrators.
  • Schedule and prepare correspondence for discipline meetings as requested by the Superintendent.
  • Reconcile district P-card for Superintendent and Board of Education expenses, monitors and submits monthly reports to the Finance Department
  • Attend all Board of Education meetings and workshops, prepares minutes and make all official documents available for signature.  
  • Prepares filing Notice for annual Board of Education election, assists Board of Education Candidates when filing, files documents and/or other election materials with St. Charles County Election Authority.
  • Updates the Missouri Ethics Commission Political Subdivision filing system for the district and tracks required Personal Financial Disclosure Statements.
  • Serve as Custodian of Records; respond and fulfill request for public records as required under the Missouri Sunshine Law and Freedom of Information Act.
  • Prepare and maintain annual school calendar.
  • Maintain and manages user access for district data with DESE as the district’s user manager.
  • DESE Core Data reporting for the school calendar, attendance centers, district contacts.
  • Maintain the district’s active substitute roster including verifying all required training and background checks are completed.
  • Maintain the district’s substitute roster and handbook.
  • Accepts the responsibilities of being a Notary in the State of Missouri and maintains seal.
  • Other duties and special projects as assigned.

  • Knowledge of administrative and clerical procedures and systems
  • Read and comprehend documents such as instructions and procedure manuals
  • Write simple and complex reports and correspondences
  • Communicate with members of the public and other staff members
  • Interpret instructions furnished in written, oral, diagram or schedule form  
  • Solve problems involving a variety of concrete variables
  • Strong computer skills including word processing and data entry
  • Ability to learn new systems and software
  • Strong interpersonal skills
  • Ability to safeguard confidential information
  • Must work closely with staff members and the public
  • Prioritize multiple tasks, work effectively under pressure and meet short deadlines.
Minimum Qualifications
  • High School Diploma/GED
  • Five years of clerical experience 
  • Some college preferred
  • 3 Professional References
