Part Time Secretary (less than 20 hours per week) Special Olympics/Planning and Development
Rate of Pay:  $12.92 per hour
Qualifications:   High school education or equivalent; minimum of one to three years’ experience in general office work; familiarity with Microsoft Word Applications, database systems, desktop computer, printers, and general office equipment.
Primary Responsibilities:
  • Assist with developing and designing reports using Microsoft products such as excel, access and share point. Knowledge of database design is preferred.
  • Assist with entering data into database and running reports to complete accreditation reports.
  • Assist with organizing workload in office, carry out priorities and meet deadlines.
  • Type, prepare, edit and proofreads in final form a variety of material such as statistical reports, agenda, handbooks/manuals, for approval by supervisor.
  • Assist in compiling and adjusting budget.  Write requisition orders and other entries into computer and monitor/track budget information on computer.
  • Take notes of meetings and type minutes, and prepare agendas for meetings with guidance from supervisor.
  • Assist in preparing travel authorization and receipts for payment or reimbursement.
  • Process and verify mileage reports and mileage information for staff.
  • Establish and maintain department electronic and hard copy files including confidential files.  Recognize sensitive material and information and maintain its confidentiality.
  • Assist with monitoring work unit inventory and ordering of office supplies and sports equipment.
  • Prepare packets to be distributed to participating teachers prior to each event.
  • Attend and assist at assigned scheduled SSD Special Olympics events.
  • Work with and instruct students from local host schools so they can effectively run events. This duty with be done under the guidance and supervision of Special Olympics facilitator.
  • Work with participating staff at events to obtain necessary data at events to assist in running an effective and efficient program.
  • Carry out duties accurately and independently with appropriate speed.
  • Capable of establishing and maintaining positive working relationships with other employees and the public.
  • Perform other duties and responsibilities as assigned.
