Under the general direction of the Executive Assistant to the Head of School, the Administrative Assistant is responsible for a variety of administrative and clerical duties necessary to the daily operation of the Office.

  • Provides administrative support to the Assistant Head of School
  • Listens for and greets visitors to the office, providing assistance and redirection as needed
  • Works with a diverse group of guests, parents and employees in a pleasant, and professional manner
  • Provides coverage when the Executive Assistant is out of the office
  • Demonstrates an ability to work independently, problem-solve, be proactive, take initiative, set priorities and handle multiple projects efficiently and effectively
  • Demonstrates excellent writing and proofreading skills
  • Coordinates meetings by reserving rooms, ordering services and tracking RSVPs
  • Provides clerical support to ensure smooth operation of the office
  • Attends and keeps written minutes at meetings in the absence of the Executive Assistant
  • Assists with Head of School event setups (e.g., board meetings, board dinners)
  • Orders office supplies, flowers for events and baby gifts.
  • Prepares thank-you notes and student achievement acknowledgments
  • Submits expense reimbursements to the Business Office for the Head of School’s Office
  • Coordinates travel arrangements for the Assistant Head of School and for faculty who have received professional development funding
  • Researches expenses associated with faculty travel and professional development to ensure that they fall within MICDS travel guidelines
  • Coordinates setup for parent/teacher conferences and for professional development events
  • Supports the annual STLinSTL conference
  • Provides administrative support to the Coordinator of Pedagogical Innovation
  • Provides administrative support to the JK-12 Department Chairs
  • Provides administrative support to Student Support Services
  • Has flexibility to work occasional evenings and weekends
  • Other projects and responsibilities may be added at the School’s discretion.
  • High level of interpersonal skills to handle sensitive and confidential situations
  • Proven ability to multitask with a very high level of output in a fast-paced environment
  • Excellent customer service skills with proven knowledge of how to work effectively and professionally with all levels of internal and external clients
  • Ability to establish effective working relationships with co-workers to accomplish objectives successfully
  • Strong proficiency in a variety of computer software applications, including word-processing, spreadsheet, database, presentation and email applications
  • Ability to pay attention to detail and accuracy in composing, typing and proofing materials
  • Enjoyment in working with children.
  • The position requires a combination of education and experience equivalent to 5 years of administrative experience.  A college degree is preferred.
  • A criminal history and background check is required and must be successfully completed.
  • The position requires work in standard office conditions and climate.
  • The position often requires work at a desk and computer for extended periods of time.
  • The position requires regular use of close and distance vision and the ability to turn, bend and reach in the performance of various tasks.
