Job Title:                             Finance & Operations Administrative Assistant
Reports To:                        Executive Administrative Assistant to Cabinet & Board of Directors
Supervises:                         N/A
FLSA Status:       Non-exempt

JOB SUMMARY
Under direction of the Executive Administrative Assistant, the Finance and Operations Administrative Assistant performs clerical and administrative tasks associated with the District office’s finance, human resources, transportation, and food service operations.   Acts as a first point of contact for the District office and performs clerical duties such as greeting office visitors, e-mail, answering phones, filing records, and processing mail. 
ESSENTIAL FUNCTIONS
Finance
  • Processes invoices for payment
  • Works with accounts payable vendor to process payments in a timely fashion 
  • Under supervision, creates invoices and checks
  • Generates requisitions and purchase orders
  • Maintains financial records
  • Answers questions and provides direction regarding established financial processes and procedures
  • Researches accounting issues and makes recommendations for resolution
  • Provides training of various financial related tasks (shirt sales, purchase orders, requisitions, cashier closeout, etc.) 
Human Resources
  • Compile data, prepare reports and forms, process various personnel actions and handle human resource projects as assigned
  • Performs tasks in support of processing new hires and coordinating exit processes
  • Creates and maintains human resource electronic and paper records
  • Acts as first point of contact for questions pertaining to human resources actions such as benefits, payroll, and PTO
Transportation
  • Acts as a liaison between transportation provider and each school 
  • Serves as first point of contact for parents and others regarding transportation issues; communicates and resolves standard complaints
  • Manages transportation spreadsheet; updates with changes 
  • Coordinates all issues related to undelivered students 
Food Service
  • Compiles data from a wide variety of sources for the purpose of implementing policies and procedures and/or monitoring program components
  • Prepares a wide variety of materials for the purpose of documenting activities and issues, meeting compliance requirements, providing audit references and/or providing supporting materials for requested actions
Other:
  • Perform other related duties as assigned
REQUIRED QUALIFICATIONS
  • High school diploma; college degree preferred
  • Minimum of three years of increasingly responsible secretarial and administrative experience, preferably in the area(s) of finance, human resources, or business operations
  • Equivalent combination of experience and training that provides the required knowledge, skills, and abilities to perform the essential functions of the position
KNOWLEDGE, SKILLS AND ABILITIES
  • Ability to pass extensive background check
  • Advanced computer and office skills to include accurate document word-processing, spreadsheets, slide presentations, and brochure creation
  • Strong people skills
  • Excellent verbal and written communication skills
  • High degree of attention to detail
  • Self-starter with ability to handle multiple tasks and frequent interruptions
  • Flawless execution of maintaining confidentiality while handling sensitive and personal information
  • Regular and dependable attendance
WORKING CONDITIONS (physical demands/work environment)
Ability to travel to various district buildings as needed.
Ability to lift to 30 pounds.
