Job Description:
Lift For Life Academy is seeking a full time Front Desk Administrative Assistant and Registrar for our new Elementary School for the 2019-2020 school year.
  • Receive visitors, answer incoming calls and check voicemail.
  • Sort and distribute mail /stamp outgoing mail to be picked up.
  • Schedule and track all UPS/FEDEX pick-ups and deliveries.
  • Record & distribute teacher and student messages.
  • Arrange late student pick-ups and administer late slips to students (“Pass to Class”). Update late attendance in Teacher Ease and sign off on daily attendance
  • Assist with preparing mailing labels and flyers i.e. school closings, parent teacher conferences, progress reports, new student school applications and new bus schedule information.
  • File all student correspondences i.e. discipline, progress reports and doctor statements.
  • Maintain office equipment, supplies (fax, copiers, postage meter-funds) and schedule repairs; assist in clearing copier jams. Order general office supplies and ink cartridges for supply cabinet.
  • Register and pay for Staff training and book reservations for hotel and flight reservations.
  • Assist staff with scheduling Student field trips & activities, reservations, payments and distribute Route Activity Requests to Food Service, Transportation and Administrators.
  • Distribute incoming copies/faxes to recipient mailboxes.
  • Submit transportation change request to Transportation Supervisor for address changes.
  • Maintain neat and orderly Mail Room, Front Office, and Copy Center.
  • Administer lost & found
  • Assist student workers in making copies for teachers and staff
  • Set up Staple Accounts, Mailbox and Meal Code for new teachers and staff; remove for terminations.
  • Manage school-wide Staff Databases (School Reach and Teacher Ease). (not sure about these things)
  • Prepare purchase orders, assist with purchase of Spirit wear or other duties as assigned.
  • Maintain elementary student records with all appropriate documentation required by state and federal laws.
  • Manage Teacher Ease database with elementary student current contact information, enrollment and withdrawal information and issue new students meal codes.
  • Complete requests from other schools for elementary student records and send records for transfer students. Confirm receipt and keep record of where students transfer.
  • Process new Elementary enrollees by maintaining a list of Enrollment Applications, send letter of acceptance or current non-acceptance and request student records from other schools including any Special Education information (IEP).
  • Print student rosters and various information for testing and MSHSAA as requested.
  • Notify Dr. Noble of changes for maintaining current list of homeless students and any certain situations that need to be addressed.
  • Assist school Nurse or contact Dept. of Public Health Nurse in obtaining immunization records for specific grades to make sure student is in compliance. Ensure Athletic Director and Coaches collect student physicals in order to be eligible to play sports.
  • Administer daily prescription medications to students according to Physician instructions when school Nurse is not available. Notify Chef if new student has a food allergy.
  • Obtain student information for MOSIS Core Data when requested.
  • Prepare student mailings for record maintenance, file paperwork and maintain complete organization of all important information for all student records current and past.
  • Minimum combination of two years school administration, front desk reception and administrative assistance experience.
  • Excellent computer skills including MS Office Applications, Google, Internet, and E-Mail and able to operate phone system, copiers and supporting database applications.
  • Proficient in creating and interpreting documents.
  • Strong written and oral communication skills.
  • Strong organizational skills with attention to detail.
  • Ability to multi-task in a fast paced environment.
  • Professional appearance and able to remain neutral and calm under stressful situations.
  • Must have a positive attitude and a good sense of humor and a problem solver.
  • Must pass fingerprint background check and Family Care Safety Registry
