The job of Executive Assistant to the Cabinet and Board of Directors is done for the purpose of
providing a wide variety of complex and confidential administrative and secretarial support to
the superintendent and Board of Education; analyzing requests and providing recommendations
for action; and communicating information on behalf of the district and the governing board to
its staff, other districts, public agencies, etc.

This job reports to Superintendent

Essential Functions

• Analyzes a variety of financial information (e.g. vendor contracts, revenues and
expenditures, etc.) for the purpose of making recommendations, maximizing use of
funds, and/or ensuring overall operations are within the approved budgeted amounts.
• Assists with answering the telephone system (e.g. responding to inquiries, transferring
calls, taking messages) for the purpose of providing customer service to the community
and patrons of the district.
• Attends Board meetings, public hearings and work sessions for the purpose of recording
minutes, managing the Electronic School Board, coordinating materials distribution
and/or supporting the needs of attendees.
• Compiles data from a wide variety of diversified sources as the district custodian of all
records (e.g. staff members, Board Members, Community Organizations, government
agencies, etc.) for the purpose of preparing reports, making recommendations; and/or
preparing information for Superintendent.
• Coordinates the Board Member appointment process for the purpose of ensuring a quality
and efficient appointment process.
• Coordinates a wide variety of projects, activities and/or events for the Superintendent and
Board (e.g. meetings, receptions, luncheons, workshops, travel/accommodations, etc.) for
the purpose of completing activities and/or delivering services in a timely fashion.
• Maintains a wide variety of complex manual and electronic documents, files and records
for Superintendent and Board of Education (e.g. electronic calendar, contacts, time
sheets, student records, legislative information, databases, etc.) for the purpose of
providing up-to-date information and/or historical reference in accordance with
established administrative guidelines and legal requirements.
• Greets individuals entering the building (e.g. visitors, parents, students, vendors, etc.)
responding to inquiries and/or directing individuals to appropriate locations in accordance
with established building security procedures for the purpose of ensuring patrons and community members access to the district.
• Maintains a wide variety of complex manual and electronic documents, files and records
for Superintendent and Board of Education (e.g. electronic calendar, contacts, time
sheets, student records, legislative information, databases, etc.) for the purpose of
providing up-to-date information and/or historical reference in accordance with
established administrative guidelines and legal requirements.
• Manages internal controls, policies, in an efficient and timely manner in accordance with
legal requirements for the purpose of achieving organizational objectives and adhering to
state education codes.
• Manages a variety of communication programs (e.g. newsletters, press releases, systemwide
emails, etc.) for the purpose of providing a centralized communication resource for
the district and community.
• Monitors a variety of activities on behalf of Superintendent (e.g. Board procedures,
public relations issues, meeting arrangements, account balances, etc.) for the purpose of
achieving goals and meeting target dates in compliance with established guidelines and
regulatory requirements.
• Oversees the work activities within the superintendent's office (e.g. screens callers and
visitors, notarizes documents, handles mail and intercampus correspondence, email
response, filing system, etc.) for the purpose of organizing assignments, monitoring
progress, and ensuring completion within established guidelines. Performs a variety of
personnel functions (e.g. training, supervising, input into evaluations, etc.) for the
purpose of maintaining adequate staffing; enhancing productivity; and providing quality
customer service.
• Prepares a wide variety of complex written materials (e.g. correspondence, agendas,
minutes, event programs, bulletins, reports, etc.) for the purpose of communicating
information and/or creating documentation in compliance with established guidelines.
