Summary:  Monitors bus departures for timeliness and route coverage; Assigns drivers to open routes; informs and assists the routing department in route changes and driver assignments to maintain an on-time schedule. Contacts drivers and aides to obtain and give information regarding transportation needs of the district.
 
Job Responsibilities:
  • Maintains the dispatch log.
  • Dispatches all call on the two-way in a courteous and professional manner.
  • Monitors on-time performance.
  • Communicates route assignments, emergency situations, accidents, breakdowns or any other event that will disrupt service to the customer.
  • Determine availability of drivers and monitors regularly assigned to routes, then assigns standby drivers and monitors where necessary.
  • Maintains daily attendance log, which includes person calling in, time of call, reason for absence, expected return date, etc.
  • Obtain daily list of out of service equipment from shop supervisor and assigns spare buses where necessary.  Schedule regular maintenance with shop supervisor to assure uninterrupted service.
  • Make sure drivers leave the lot on time and all schedules are kept.
  • Keep all route copies up to date and maintain all files.
  • Keep a communications log and keep operations board current.
  • Handle customer complaints, take reports of late buses, breakdowns, accidents and report to proper individual to prevent interruption of service, log complaints/incidents.
  • Coordinates with school official to insure safe, efficient and timely pupil transportation services.
  • Inform manager of any communications, personnel, of incidents that may be (or become) problem areas and effect the daily operations.
  • Maintains or ensures that a master list of all routes and trips is maintained, including: A current file or set of files on each route; Information needed to describe the route and its component parts (contract, program, school, map, assigned vehicle, list of passengers with addresses and telephone numbers, assigned buses, assigned drivers.
  • Assists driver with routing directions and communicates special service requirements.
  • Assigns activities and trips to drivers pursuant to established policies and procedures.
  • Maintains current list of all available stand-by drivers and spare vehicles.
  • Coordinates emergency response network when there is a problem on a route.
  • Submits required reports and paperwork to the Manager or Director in a timely fashion.
  • Reports all major problems and/or irregularities to the manager or Director.
  • Encourages compliance with district policies and processes. Discusses any breach of policy and procedure noted with supervisor.
  • Coordinates vehicle service schedules with the Fleet Maintenance Manager to assure uninterrupted service.
  • Notifies the District of all changes in route assignments, emergency situations, accidents, breakdowns or any other event that will disrupt service.
  • Ensures security at the facility by daily walk-around and inspection.
  • Communicate professionally and effectively with school officials, parents, students, drivers, monitors and company personnel to resolve relative issues.
  • Sets example of professional behavior by maintaining the proper attitude, dress and TEAMWORK. 
  • Search for ways to improve the district, its workplace, and informing management of these suggestions.
  • Promoting teamwork, trust, good will, and the company in its efforts to patrons and team members.
  • Basing every action and decision upon common sense and good judgments.
  • Obey all Federal, State, Local laws and the “policies and guidelines” of the District.
  • Complete special projects as assigned.
 
Qualifications:
Education and/or Experience:
High school education or equivalent; specialized training with a routing software program preferred.  Familiarity with computer word processing systems, spreadsheet applications, database systems, desktop computer, printers, and general office machines (fax, copiers, etc.) preferred.
