Job Description:
This position will provide direct support to the Manager of College and Career Readiness: cte advisory committee communicaton,  program certification compliance and documentation, etc.  Additional department responsibilities will include requisition entry and tracking, purchase card reconciliation, payroll entry, etc. Preferred: 2-3 years of experience working in office support in an education setting.  Required:  high school diploma or equivalent, working knowledge of Lawson Financial and Workforce Management programs, familiarity with Microsoft Office and Google Docs.  Data entry, Organizational tasks, phone and in-person communications with internal and external persons both written and spoken

Summary:  Secretary Level 2 performs a variety of tasks including clerical and secretarial duties that require initiative, independent judgment and making decisions within established policies.  Duties frequently require discreet and tactful handling of sensitive and confidential material.  Good interpersonal skills are necessary in dealing with diverse publics.
 
Job Responsibilities:
  1. Receive inquiries (visitors, telephone, in writing) into work unit, ascertain purpose of visit, furnish information or direct to proper person.
  2. Initiate contacts and transacts business with outside agencies and parties as directed.
  3. Assist with organizing workload in office, carry out priorities and meet deadlines.
  4. Take and transcribe oral and machine dictation, which may involve a specialized vocabulary.
  5. Prepare and process forms and correspondence within framework of established policies and procedures, sometimes involving confidential material.
  6. Type, prepare, edit and proofreads in final form a variety of material such as statistical reports, exhibits, handbooks/manuals, transparencies, contracts, reports for federal, state or local governmental agencies for approval by supervisor, printing and distribution.
  7. Assist in compiling and adjusting budget.  Enter electronic requisition orders and other entries into computer and monitor/track budget information on computer.
  8. Track semimonthly attendance for department staff.  Log appropriate information on attendance form, submit to supervisor for signature and send signed form to payroll and human resources.
  9. Maintain database for work unit and generate and distribute related reports as directed.
  10. Assist with registration, travel, accommodations, and advances for staff.  Submit approved authorization and receipts of payment or reimbursement.
  11. Maintain supervisor’s schedule of appointments and make arrangements for meeting rooms.
  12. Process department mail.
  13. Establish and maintain department files including confidential files.  Recognize sensitive material and information and maintain its confidentiality.
Qualifications:
Education and/or Experience:
High school education or equivalent plus additional specialized training/experience in a related area.  Minimum of one to three years experience in general office work.  Familiarity with computer word processing systems, spreadsheet applications, database systems, ten-key calculator, desktop computer, printers, and general office machines (fax, copiers, postage, etc.) preferred.
