Job Description:
The School District of Clayton is seeking an administrative assistant for the guidance office at Clayton High School for the 2019-2020 school year. The administrative assistant will provide clerical, secretarial and administrative assistance to help support the guidance office. 
The successful candidate will:
  • Organize, maintain, and retrieve information particular to the area of assignment.
  • Have excellent written and verbal communication skills.
  • Utilize discretion and tact when interacting with others and handling confidential material.
  • Maintain a calm, professional demeanor in communication with students, District staff, parents, and the community.
  • Have the ability to handle multiple tasks efficiently.
  • Have excellent word processing and technology skills.
  • Have familiarity with Google Suite and Microsoft applications.
  • Have familiarity with and ability to utilize social media platforms.
 Examples of work performed:
  • Perform clerical duties including but not limited to answering phones, screening and directing calls; greeting and assisting students; opening, processing, and distributing mail; typing forms, letters, reports, correspondence, memos;
  • Maintain a welcoming environment for all students seeking guidance services.
  • Maintain student demographics (address, phone, emergency, etc.)
  • Make appointments for student and parents to meet with counselors.
  • Meet with students and parents to fill out enrollment paperwork.
  • Request all records from a student’s previous school(s).
  • Communicate with multiple departments regarding the enrollment and records of new students so that the needs of the student are met.
  • Support the electronic submission and maintain records of all student recommendations and transcripts, including present students and graduates using electronic portals.
  • Produce, maintain and distribute reports including 504's, college applications, and scholarship submissions and requests.
  • Schedule visits from college and career representatives and military personnel.
  • Update department website.
Education Requirements:  High school diploma or equivalent
Certification:  None
Experience:  1 -3 years in similar assignment preferred
