Administrative Assistant Student Services
PRIMARY FUNCTION: Managing effective District department support systems (Counseling, Nursing, Social Work, and
Admissions Departments and programs)
DIRECTLY RESPONSIBLE TO: Director of Student Services
MINIMUM QUALIFICATIONS:
1. Highly motivated with ability to work in confidential environment.
2. Above average aptitude for numbers/data.
Education - High school diploma or equivalent required, some college preferred.
Knowledge/Skills –
1. Background in business, guidance, medical and technical operations preferred.
2. Ability to work in a very fast paced department.
3. Ability to remain calm in crisis situations.
4. Exceptional organizational, prioritizing and follow-through skills.
5. Exceptional customer-service skill.
6. Exceptional computer and office equipment skills.
7. Exceptional writing and grammar skills.
8. Thorough understanding of Microsoft Suite.

Financial Responsibilities
• Process requisitions, purchase orders, warehouse orders and work orders for all Student Services Departments
• Rectify P-Card for Student Services Department (Scan receipts and documentation, Complete Purchasing Card
 requisition forms, Complete Purchasing Card User Log, Document charges on P-Card envelope, etc.)
• Coordinate Budget requirements for all Student Services Departments including grant accounts
• Rectify all Student Services financial accounts to include Journal Transfers for Student Services Department
• Deposit donations to Food for Thought, Benevolent Fund and CRT Fund accounts
• Process requests for use of funds from specialized Student Services accounts
• Custodian of Petty Cash for Student Services
• Maintain and order office supplies for all Student Services Departments
• Complete annual/quarterly nurse orders
Administrative Assistant Responsibilities
• Provide administrative support to Director of Student Services, School Counselor Coordinator, Nurse
Coordinator, 504/FBA Specialist, Homeless Liaison, and Foster Care Liaison, Social Workers
• Answer and direct calls to appropriate Student Services Departments
• Compose assorted correspondence for all Student Services Departments
• Maintain calendars for Director of Student Services, School Counselor Coordinator, Nurse
Coordinator, 504/FBA Specialist, Homeless Liaison, and Foster Care Liaison, Social Workers
• Verify subpoena documents pertaining to student records
• Process time cards for sub nurses, sub counselors and seasonal staff
• Register Student Services staff for various conferences and workshops throughout the year
• Book travel (registration, hotel, air, ground) for Student Services staff professional development
• Coordinate all room reservations for Professional Development and assorted meetings
• Process applications for Nurse candidates, Social Worker candidates, School Counselor candidates,
seasonal Clerical candidates
• Prepare documents/application folders for interview panels
• Assist with Student Records Manual updates
• Process interschool and public mail
• Input and verify attendance for Student Services staff
• Assist Custodian of Records with 23 school audits
• Assist with Central Registration
• Assist with Registration of new students to FFSD
• Assist with Process Transcript Requests
• Organize donations (school supplies, food, clothes) from outside agencies
• Maintain databases for various areas of Student Services
• Process school reassignments
• Provide support with unaccredited transfer documents, communication and procedures
• Process personnel action forms for new hires, terminations, payroll changes
• Electronically, manage, update and distribute all Student Services department forms and manuals
• Manage inventory and distribution of Psychological assessments-BASC, CONNERS, K-BIT,KTEA, WISC V
• Maintain assessment scoring labels
• Other duties as assigned to support all Student Services Departments and staff
Full-Time Salary Range $28,523 to $35,614
