REPORTS TO:  Director of Human Resources

GENERAL RESPONSIBILITIES: Performs duties to coordinate, document and process payroll for all employees.    Maintains employee leave accounting and retirement records, and prepares reports as required.  Present a positive image when communicating with staff members.  Properly handle all confidential matters.
  1. Process monthly payroll for all employees. Import required data from other district software programs.
  2. Process and send direct deposit, tax, retirement files and payments electronically.
  3. Enters and/or imports all new hire information into payroll system and benefit plans. Maintains data on any changes that occur.  Update voluntary payroll deductions, special pays, W4, MO-W4, retirement, direct deposit data, etc.
  4. Report new hires to Missouri Department of Social Services.
  5. Maintains payroll records on all leaves, including medical, FMLA, LOA and Worker’s Compensation.
  6. Verify calendar for each group prior to the start of every school year.
  7. Enters and/or uploads contracts, extra duty contracts and job assignments into payroll system.  
  8. Maintain all court ordered disbursements and respond to interrogatories.
  9. Comply with all payroll tax requirements, including local, state, and federal regulations and filing local, state and federal payroll tax returns. Process and file W-2, W-3, wage statements, etc.  Work with tax agencies to resolve any outstanding issues.
  10. Research inquiries on payroll, time card issues and benefits. Take appropriate action to resolve problems identified.
  11. Processes and updates state retirement plan (PSRS/PEERS) information and payments.
  12. Prepare deduction and final pay calculation to employees that had been on leave or at separation of employment.
  13. Perform monthly review of all insurance billings.
  14.  Prepare materials for external or internal audits.
  15. Assist HR with Orientation to explain benefits and deductions as needed.
  16. Process unemployment claims.
  17. Complete employer verifications.
  18. Maintain confidentiality at all times.
  19. All other duties as assigned.
  1. Associate’s or Bachelor’s Degree in Accounting or equivalent training beyond High School preferred.
  2. Three to five years of payroll experience required.
  3. Strong organizational, computer and communication skills.
  4. Ability to operate office equipment such as copier, fax machine, calculator and multi-line phone.
  5. Knowledge of software currently used in the district such as Keystone, Talent Ed, and Frontline Technologies.
  6. Ability to assume responsibility, display initiative and exercise good judgment.
