Job Summary
The Executive Assistant to the Chief Human Resources Officer (CHRO) provides high-level administrative and confidential support, facilitating the smooth operation of HR functions, coordinating projects, and maintaining essential records. This role is integral in ensuring effective communication within the HR department and across other District departments.
Key Responsibilities
- Administrative Support: Provide comprehensive administrative support to the CHRO, including managing calendars, scheduling meetings, coordinating travel, and handling confidential correspondence.
- File Maintenance: Oversee the organization and routine maintenance of personnel files to ensure accuracy, completeness, and compliance with District and legal standards.
- Data Compilation and Reporting: Gather and compile data from various sources (e.g., personnel files, budgets) to prepare reports and provide information for decision-making.
- Project Coordination: Coordinate HR projects and events, including the annual staffing process, meeting arrangements, hiring paperwork, and other HR-related activities to ensure timely completion.
- Record Management: Maintain both manual and electronic records (e.g., employee records, budget data) to provide up-to-date and historical references as required.
- Budget Monitoring: Reconcile account balances for assigned budget categories to maintain accurate budget tracking.
- Professional Representation: Represent the CHRO in their absence to communicate information and address issues on their behalf.
- Inquiries and Communication: Respond to inquiries from staff, parents, and public agencies, providing information and direction as needed to facilitate communication.
- Meeting Participation: Attend relevant meetings, workshops, and trainings to support HR functions and document important information.
- Document Preparation: Draft and prepare a variety of documents, including reports, emails, memorandums, and job postings, both confidential and non-confidential.
Minimum Qualifications
- Education: High school diploma or equivalent required; college degree or relevant certification preferred.
- Experience: Proven administrative experience supporting high-level executives; HR experience is a plus.
- Skills: Strong proficiency in Microsoft Office Suite, excellent organizational and multitasking abilities, strong communication skills, and the ability to handle sensitive information confidentially.
- Knowledge: Familiarity with HR processes, record-keeping standards, office practices, and basic accounting principles.
- Abilities: Ability to manage multiple priorities, work independently, communicate effectively with diverse groups, maintain confidentiality, and work well under pressure.
