Job Description:
Customer Service & Front Desk Management
  • Serve as the first point of contact for students, families, staff, and visitors, providing a welcoming and professional presence in the front office.
  • Greet visitors, manage school entry, and ensure compliance with safety procedures for all visitors.
Communication & Phone Management
  • Manage incoming and outgoing phone calls, emails, faxes, and messages to ensure timely and effective communication with families, staff, and community members.
  • Revisit and implement new systems if needed.
Student Records & Information Management
  • Maintain up-to-date student records, including enrollment, attendance, and health information.
  • Assist with student registration, withdrawals, and ensure proper data entry in the Student Information System (SIS).
  • Curate and maintain emergency substitute folders for all classrooms.
  • Revisit and implement new systems if needed.
Attendance & Transportation Coordination
  • Work with families to improve student attendance through proactive communication and intervention strategies.
  • Make daily attendance phone calls to families of absent students. 
  • Coordinate student transportation, including liaising with transportation vendors, managing requests, and communicating schedules with families.
  • Book buses and coordinate transportation logistics for school field trips. 
Payments & Financial Tasks
  • Collect and manage payments for uniforms, intersession programming, before and after care, and other school-related fees.
  • Maintain records of payments and communicate outstanding balances with families as necessary.
Procurement & Inventory Management
  • Order and manage supplies for the office and school, ensuring teachers and staff have the resources needed for daily operations.
  • Maintain an organized inventory of supplies and handle procurement-related tasks.
  • Keep a count of “late breakfast” inventory and place orders for more breakfast when necessary.
Family Support 
  • Assist families with various school processes such as registration, navigating school procedures, and accessing resources.
  • Maintain positive relationships with families, helping to build a welcoming and inclusive school culture.
General Administrative Duties
  • Manage incoming and outgoing mail, organize school notices, and distribute materials effectively.
  • Have all schedules, floor plans, room numbers, staff, contact information, approved snack list, etc. readily available with extra copies made to distribute if needed. 
  • Perform general office duties including photocopying, faxing, filing, and organizing documents to support school operations.
  • Keep the school office clean and organized with clear systems and procedures. 
Crisis Response & Safety Management
  • Actively support emergency protocols and procedures, providing accurate and up-to-date contact lists and records.
  • Assist during drills and other safety-related activities, ensuring that all office procedures align with school safety protocols.
Visitor Management & Building Safety
  • Manage the visitor sign-in process, ensuring that only authorized individuals enter the building.
  • Verify IDs, provide visitor passes, and maintain logs for security purposes.
Qualifications:
  • High school diploma or equivalent; associate degree or higher preferred.
  • Previous experience in office administration, preferably in a school setting.
  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Proficiency in using office software (e.g., Microsoft Office, Google Workspace) and familiarity with Student Information Systems (SIS) is preferred.
Working Conditions:
  • Full-time position; 7:30-4:00
  • Year-round schedule with four designated weeks off around holidays and 15 days PTO.
