Customer Service & Front Desk Management
- Serve as the first point of contact for students, families, staff, and visitors, providing a welcoming and professional presence in the front office.
- Greet visitors, manage school entry, and ensure compliance with safety procedures for all visitors.
- Manage incoming and outgoing phone calls, emails, faxes, and messages to ensure timely and effective communication with families, staff, and community members.
- Revisit and implement new systems if needed.
- Maintain up-to-date student records, including enrollment, attendance, and health information.
- Assist with student registration, withdrawals, and ensure proper data entry in the Student Information System (SIS).
- Curate and maintain emergency substitute folders for all classrooms.
- Revisit and implement new systems if needed.
- Work with families to improve student attendance through proactive communication and intervention strategies.
- Make daily attendance phone calls to families of absent students.
- Coordinate student transportation, including liaising with transportation vendors, managing requests, and communicating schedules with families.
- Book buses and coordinate transportation logistics for school field trips.
- Collect and manage payments for uniforms, intersession programming, before and after care, and other school-related fees.
- Maintain records of payments and communicate outstanding balances with families as necessary.
- Order and manage supplies for the office and school, ensuring teachers and staff have the resources needed for daily operations.
- Maintain an organized inventory of supplies and handle procurement-related tasks.
- Keep a count of “late breakfast” inventory and place orders for more breakfast when necessary.
- Assist families with various school processes such as registration, navigating school procedures, and accessing resources.
- Maintain positive relationships with families, helping to build a welcoming and inclusive school culture.
- Manage incoming and outgoing mail, organize school notices, and distribute materials effectively.
- Have all schedules, floor plans, room numbers, staff, contact information, approved snack list, etc. readily available with extra copies made to distribute if needed.
- Perform general office duties including photocopying, faxing, filing, and organizing documents to support school operations.
- Keep the school office clean and organized with clear systems and procedures.
- Actively support emergency protocols and procedures, providing accurate and up-to-date contact lists and records.
- Assist during drills and other safety-related activities, ensuring that all office procedures align with school safety protocols.
- Manage the visitor sign-in process, ensuring that only authorized individuals enter the building.
- Verify IDs, provide visitor passes, and maintain logs for security purposes.
- High school diploma or equivalent; associate degree or higher preferred.
- Previous experience in office administration, preferably in a school setting.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and communication skills.
- Proficiency in using office software (e.g., Microsoft Office, Google Workspace) and familiarity with Student Information Systems (SIS) is preferred.
- Full-time position; 7:30-4:00
- Year-round schedule with four designated weeks off around holidays and 15 days PTO.
