The district is looking to fill (1) Full-Time and (1) Part-Time position.
POSITION TITLE: Diagnostic Data Entry Secretary
STATUS: 183-Days; 8 Hour Days
PAY CATEGORY: Secretary 1; Non-Exempt
REPORTS TO: Building Diagnosticians and Directors of Special Services
POSITION SUMMARY: To assure the smooth and efficient operation of the diagnostic departments.
ESSENTIAL FUNCTIONS:
ESSENTIAL SKILLS AND ABILITIES:
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone/email and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, talking, and repetitive motions. Requires ability to sit and stand for long periods to complete work. Requires ability to handle multiple tasks with frequent interruptions and ability to work in noisy, stressful environments.

POSITION SUMMARY: To assure the smooth and efficient operation of the diagnostic departments.
ESSENTIAL FUNCTIONS:
- Responsible for effectively performing all clerical duties associated with the Special Education and Diagnostic teams including but not limited to answering questions via various methods, typing letters, compiling reports, preparing for meetings, printing, faxing and mailings.
- Willingness to learn special education process.
- Perform data entry for evaluation reports.
- Maintain and ensure that all Special Education files are up-to-date, organized and in compliance.
- Type reports, letters, forms, etc. related to special education processes, and provide in an accurate and timely manner.
- Mailing of evaluation reports, scheduling appointments for the diagnostic team with parents, teachers, and agencies regarding special education testing.
- Manage student special education evaluations in the student information system.
- Communicate and work with special education staff and other stakeholders related to the position. Ensure issues, concerns and/or mistakes are addressed in a timely manner.
- Prepare and supply Special Education reports for diagnostic team and central office staff.
- Assist with screening and referral information, disseminating necessary forms to appropriate staff.
- Attend staff meetings and professional development as scheduled and participate as needed.
- Comply with all district policies, procedures and regulations.
- Perform other duties as assigned by the diagnostic team and central office staff.
ESSENTIAL SKILLS AND ABILITIES:
- Ability to work and communicate effectively and positively, both verbally and in writing, with colleagues, supervisors, various clients and stakeholders.
- Ability to maintain confidentiality.
- Knowledge and use of personal computers and related software including, but not limited to, Microsoft Suites, Google Suites, copiers, eFax, calculator, and multi-line phone system.
- Demonstrate a calm demeanor for handling stressful situations.
- Strong attention to detail.
- Ability to edit routine correspondences for spelling and grammatical errors.
- Ability to accomplish tasks that are often interrupted by persons with special and/or immediate needs.
- Ability to read, analyze, and determine a course of action based on various types of written and verbal information.
- Ability to report to work consistently and promptly as scheduled.
- Knowledge of special education processes.
- High school diploma or equivalent required.
- Experience and/or familiarity with special education processed preferred.
